Studios Rental T&C
Basic price include:
- equipment (list of equipment are available here)
If deposit was paid, it will be deducted of total price.
THE ADDITIONAL FEES
- Lighting equipment assistance: £50 per hour (please let us know at least 3–5 days in advance if you require assistance; minimum charge is £50).
- Lighting and camera assistance: £75 per hour (please let us know at least 3–5 days in advance if you require assistance; minimum charge is £75).
- Backdrops i other colours then black, white and grey are available on request and cost £50 per backdrop (has to be ordered in 10 to 15 working days before the access date)
- Colorama paper background: £10 per meter (if soiled) please check 1G1 studio marks on the background before you start the session
- Overtime: £35 per hour
- The Hirer must take all the rubbish, which does not fit in the provided bins with them. In case any rubbish is left the additional fee of £35 pounds will be charged.
PARKING:
Please use the MAIN CAR PARK only. Don't block the archway by the stairs or other units gates and doors.
If you need to load or unload, it's fine to park briefly by the stairs. But when you're done, please move your car to the main car park.
WINDOW BLINDS:
To darken the studio, use the black blinds at each window sill. They easily attach to the top of the window frame with velour tape. Be cautious with the ladder; always have someone hold it for you. NEVER CLIMB THE LADDER WITHOUT SOMEONE HOLD IT FOR YOU.
STUDIO TIME!!!
OUR STUDIO IS BUSY SO PLEASE RESPECT THE OTHER PEOPLE BEFORE AND AFTER YOUR SESSION
Be sure to schedule time to use the studio so that you are not interrupting other photographer’s shoots. The time you reserve includes your set up and clean up. There will often be people coming in right on your tail so do not go over your scheduled time, otherwise overtime fee starts 15 minutes after your scheduled session end.
AMENDMENT, CANCELLATION AND TERMINATION
The Hirer shall send all the amendments/cancellation/termination in writing via email to the Venue in no less than 2 working days before the access time.
If the hirer doesn't show up, the full fee will be charged
To get the refund, we have to received cancellation in writing via email to the Venue in no less than 4 working days, other way we can reschedule your slot.
Our studio is very busy so to reschedule your session, please contact us asap, so we can check the new date and time for you.
If you contact us 1–4 working days before your scheduled session, we can reschedule your booking at no extra cost within the next 12 months. Rescheduling beyond this 12 month period will incur an additional fee of £35.
NON-DISCRIMINATION AND PROHIBITED CONTENT POLICY
The Studio operates a strict zero-tolerance policy towards any form of discriminatory, hateful, or offensive content. The Client agrees that the Studio premises must not be used to create, produce, record, or promote any material that is homophobic, racist, or otherwise discriminatory or abusive toward any individual or group based on protected characteristics.
This includes, but is not limited to, content that may incite hatred, violence, or discrimination, in accordance with the Equality Act 2010 and relevant provisions under the Public Order Act 1986.
Any breach of this policy will result in the immediate termination of the booking without refund. The Studio reserves the right to report any such activity to the relevant authorities, including law enforcement agencies, where content or conduct may constitute a criminal offence under UK law.
By proceeding with the booking, the Client acknowledges and agrees to comply with this policy.
USE AND CARE OF THE VENUE/PROPERTY AND PREMISES
- To operate studio equipment, you need to be an experienced photographer or video maker, or you can hire professionals to operate the equipment.
- The white floors and backdrops will dirty very easily so please make sure you clean you shoes and buts before enter studio floor.
- Use shoes cover provided.
- You are welcome to move furniture to any space you like at the studio, but DO NOT DRAG the furniture across the floor. Please have someone help you to move heavy items and make sure to put the furniture back into the place it was when you came in.
- No food and drink are allowed at the studio floor area (dos not include food photo or video production).
- The Venue may only be used for the purpose(s) for which it is hired.
- The Hirer is responsible for crew/cast/guests and their behaviour and welfare
- The Hirer is responsible for ensuring that their own public liability insurance is in effect for all individuals in the studio during hours of use, covering any accidents, injuries, or fatalities.
- The Hirer is responsible for any wilful or negligent loss of belongings of the Venue owners and/or damage to the Venue, furniture and equipment. Any costs of making good will be charged to the Hirer according to the market value of the goods or quotes and/or invoices provided by the repairs company chosen by the Venue. The Venue representative will check the area before and after the event to note any damage. We encourage you as the Hirer to allocate a member of your party to accompany the Venue representative during the inspection. If no Hirer representative is present during the inspection, the note of the damage will be done solely at the discretion of the Venue.
- We are not responsible for any equipment or personal items left behind in the studio by the hirer, the crew and any guests.
- No notices, decorations or signs may be attached to the fabric of the Venue without prior agreement of the Venue. Under NO circumstances can tape, staples, or any fixing be attached to the floor, furniture, pillars, railings or walls unless agreed with the Venue beforehand.
- Let the management know of any repairs, maintenance, or damage in the studio. If you come to the studio and find something that needs attention, please let management know immediately so the person before you is held responsible. If you do not report something, you could be the one held responsible by the person following.
- If you need to place the backdrop on the stands on the studio floor, carefully remove the backdrop from the wall hangers using the ladder and hang it on the backdrop stand system. When you are finished, please gently place it back on the wall backdrop hangers.
- When you are finished clear the studio floor and put all props and equipment back into the place it was when you came in, and leave the studio as you would like it seen when you arrive for a shoot.
- For small rubbish, please use bins provided, respect the recycling labels.
- If you have the keys from the keys box, please place them back to the keys box after finished and mix the code.
BEFORE LEAVING THE STUDIO PLEASE TURN OFF THE ELECTRIC HEATERS, EQUIPMENT AND VENUE LIGHTING.
PLEASE LOCK THE DOOR, PUSH TO CHECK IF IT'S PROPER CLOSED AND LEAVE THE KEYS IN THE BOX AFTER YOU FINISHED

Amendment, Cancellation and Termination Policy
1. Booking Amendments
Any requests to amend or modify a booking, including changes to session time, duration, services, number of participants, or studio setup requirements, must be submitted in writing via email to the Studio no later than 2 working days before the scheduled session.
While we will make every reasonable effort to accommodate requested changes, amendments are subject to studio availability and cannot be guaranteed.
Additional charges may apply for significant changes to the original booking, including extended recording time, additional technical support, or changes in production requirements.
2. Cancellation Policy
All cancellation requests must be submitted in writing via email to: 1g1studiobelfast@gmail.com
To qualify for a full refund, cancellation notice must be received no later than 4 working days before the scheduled session date.
Cancellations received less than 4 working days before the booking date are non-refundable. However, at the Studio’s discretion and subject to availability, the booking may be rescheduled for a future date.
3. Rescheduling Policy
As the Studio operates on a high-demand booking schedule, clients are encouraged to contact us as soon as possible regarding any rescheduling requests.
Rescheduling is subject to availability of alternative dates and times. The Studio cannot guarantee preferred replacement dates.
Repeated rescheduling requests or last-minute changes may result in additional administrative or booking fees.
4. No-Show Policy
If the Hirer, guest speakers, contributors, or production team fail to attend the scheduled session without prior written notice, the booking will be treated as a “No Show”.
In such cases:
-
the full booking fee will be charged and retained by the Studio;
-
no refund or complimentary rescheduling will be offered.
Late arrival may reduce the available recording time, and sessions will still end at the originally scheduled finish time unless additional studio time is available and agreed upon.
5. Studio Cancellation Rights
The Studio reserves the right to cancel or terminate a booking immediately in circumstances including, but not limited to:
-
breach of Studio Terms & Conditions;
-
abusive, threatening, discriminatory, or inappropriate behaviour;
-
use of the Studio for unlawful, defamatory, hateful, racist, homophobic, or otherwise offensive content;
-
damage or risk of damage to studio equipment or property;
-
health and safety concerns.
In such cases, the Studio reserves the right to refuse access, terminate the session without refund, and where appropriate report unlawful activity to relevant authorities under applicable UK law.
6. Technical Delays and Client Responsibility
Clients are responsible for arriving prepared and on time for their session, including having all required materials, presentation files, scripts, guest confirmations, online platform access credentials, and technical information ready before the session begins.
The Studio is not responsible for:
-
delays caused by late arrival;
-
internet issues outside of the Studio’s control;
-
third-party platform failures (Zoom, Teams, Riverside, etc.);
-
participant technical issues during online recordings or classes.
Studio time lost due to client delays or technical issues on the client side remains chargeable.
7. Force Majeure
The Studio shall not be held liable for cancellations, interruptions, delays, or inability to provide services resulting from events beyond reasonable control, including but not limited to:
-
power outages,
-
internet failure,
-
extreme weather,
-
government restrictions,
-
illness,
-
equipment failure,
-
or other unforeseen circumstances.
In such cases, the Studio will make reasonable efforts to reschedule the booking to a mutually agreed alternative date.
